In reviewing the board packet, you might notice several changes have been made to our agenda and the organization of the board packet. These changes are as a result of our conversation at the retreat in which we committed to becoming a leadership board rather than a management board. Some of the changes you’ll notice include:

·         We’ve included a few more items on the consent agenda. These are routine items in which we don’t anticipate discussion on the topic. That said, should you have a question about any item on the consent agenda, I encourage you to reach out to me, Pete or Margo to address any question you may have. If you feel a full discussion by the board would be beneficial, you may request in writing - prior to the start of the board meeting - that an item be removed from the consent agenda.

·         We’ve designated 30 minutes on the agenda for a discussion period. The purpose of the discussion period is to share ideas on the topic in a free-flowing manner. The goal is not to make a recommendation or decision on the topic, but to simply explore our options and share our thoughts on the topic. During the discussion period Robert’s Rules will not be followed.

·         We’ve grouped all action items together on the agenda. As we move towards a leadership board, you’ll find more of these action items will be placed on the consent agenda, freeing up time which will allow us to direct our attention to the strategic issues facing our foundation. We’ll move from simply approving reports to asking more questions and using our strategic plan to drive our board agenda.

·         We’ve included all committee meeting minutes and general housekeeping items for your reference at the end of the board packet.

Please note the following as you review the agenda and board packet:

1.       All supporting documents have been placed in the order of their appearance in the agenda

2.       All supporting documents appear in red in the agenda and are underlined

3.       We have separated the board packet into two PDFs. The first packet contains the standard business and action items for the Board’s consideration while the second packet includes committee updates and reference items for the Board’s review.

4.       We have used bookmarks within the each packet so you may easily find any content you are looking for.  When you have downloaded and opened the files, click on the bookmark icon which is displayed in the left window. This will open the bookmarks and allow you to navigate to a specific report within the packet.

5.       I’ve included a summary of highlights in my report, which is also attached to this email for your convenience.

Please take a moment to send me an email and let me know what you think of the new format! As always, should you have any questions please call me.

I look forward to seeing you in San Ramon in a couple of weeks.

Jenn
